All-OPAS Workshop

Abstract

During a series of facilitated discussions, 32 OPAS delegates reviewed nine strategies and concluded that OPAS should focus its resources in three areas over the next year or more:

Introduction and Overview of Agenda

    • Structure and progress of OPAS to date
    • Goals of workshop
    • Strategy categories
    • Criteria for prioritizing strategies
    • Intervention methods and sub-strategies
    • Strategies to be prioritized

9:30 – 11:00

Facilitated table discussions for each of OPAS Domains of Action:

  • Strategy Break-out Sessions; all members rotate through each table group (facilitators excepted), Each session is 25 minutes with 5 minutes “passing time.”
    • Motivation – Bruce Schafer
    • Preparation – Dick Knight
    • Transfer, Diversity and Retention – Eileen Boerger
  • For each group, discuss
    • The strategies assigned to this category.
    • Any top-level strategies that are missing.
    • The environment:  intervention methods, sub-strategies, constraints, issues, opportunities, timelines, resources, partners
    • Relative priority of these strategies based on criteria.
    • 5 minute recap: Have we captured the discussion? Is anything missing?

11:00 – 11:15

Last rotation helps facilitator develop summary, identify strategies

11:15 – 11:45

Each facilitator will present a summary of the working sessions to the entire group

11:45 – 12:05

Lunch is served, concurrently with all members participate in a voting process:

  • 3 green dots – based on the criteria discussed, individuals vote for three different strategies: what are the most important uses of OPAS resources – time, money, etc.
12:05 - 12:15 Tallying identifies the top six strategies; these are put up for voting on a new master sheet

12:15 – 12:45

All members participate in a second-round voting process:

  • 2 magenta stickers with voters' names -- vote based on where your passion is; where you are prepared to invest time and energy.
  • Identify the top three strategies

1:00 – 1:15

 Prepare for break-out sessions around the top 3 strategies …

  • Announce results of vote
  • Members join the strategy session most aligned with their expertise and passions
  • Rebalance groups, if necessary, so that each has a similar number of people
  • Bruce, Dick, and Eileen are available to facilitate
  • Note: After the workshop, the steering committee will consider using the top three to six strategies identified here as the basis for adjustments to existing and/or new committees

1:15 – 2:45

Break-out Sessions for each of the top 3 newly chosen strategies.  These exercises may be done as a group or with subgroups at the discretion of the group:

  • Exercise 1
    • What intervention method(s) best fit this strategy?
    • What sub-strategies best match this strategy?
    • What next steps should be taken to develop and implement the strategy?
  • Exercise 2
    •  How could we obtain more resources to implement this strategy?
    • Ideas developed will be used by committees or newly formed task forces as starting point after the workshop.   We may also create a new committee focused on resource development.
  • Exercise 3
    • What handful of quantitative data do we need to track and evaluate the strategy?

Summarize conclusions.   These results will be used by the steering committee to decide future committee/task force structure.
